Introduction

The Google Calendar integration enables your AI Agent to check calendar availability and book appointments directly through customer conversations. Customers can view available times and schedule appointments without leaving the chat interface.

Purpose: Enable seamless appointment booking through conversational AI while maintaining full calendar control and visibility.

Motivation: Service businesses need efficient appointment scheduling that works 24/7. This integration combines the power of conversational AI with Google Calendar’s robust scheduling capabilities, eliminating manual coordination and reducing no-shows through automated confirmations.


Capabilities

Real-Time Availability Checking

The AI Agent can check your Google Calendar in real-time to see available time slots, respecting existing appointments and business hours. Customers can ask about availability and receive current, accurate information.

Automatic Appointment Booking

When customers confirm an appointment time, the system automatically creates a calendar event with customer details, service information, and conversation context. Calendar invites are sent to both the customer and your business email.

Calendar Sync

Appointments booked through conversations appear in your Google Calendar, and events created in Google Calendar are recognized by the AI Agent, ensuring two-way synchronization.


Configuration

Prerequisites

  • Google Workspace or Gmail account
  • Google Calendar with events
  • Admin access to calendar settings

Connect Google Calendar

  1. Navigate to Connect

    • Go to Dashboard > Connect
    • Find Google Calendar in the available tools
    • Click Connect
  2. Authorize Access

    • Sign in with your Google account
    • Review requested permissions:
      • Read calendar events
      • Create calendar events
      • Modify calendar events
    • Click Allow
  3. Select Calendar

    • Choose which calendar to use for bookings
    • You can connect multiple calendars if needed
  4. Verify Connection

    • Check that Google Calendar is listed under “Configured Tools”
    • Test by asking the AI Agent about availability

Configuration Settings

Once connected, the AI Agent can immediately check availability and book appointments. You can configure business hours, appointment durations, and other settings through your Google Calendar settings.

Note: Google Calendar is available on Enterprise plans. Contact us to upgrade if you don’t see this option.
